For the purpose of applicable data protection laws, we are the "business" or "controller" with respect to the processing described in this Notice.
This Notice applies only to our recruiting activities. Our collection and use of information about Clients, Authorized Users, Recipients and visitors to our website is described in our Privacy Policy, available at https://www.tremendous.com/privacy/. If we hire you, a separate employee privacy notice will apply to your information from the start of your employment.

Depending on how you interact with us during the recruiting process, we may collect different types of information about you, including as set out below.
1.1 Information You Provide to Us
Basic contact details: Name, phone number, email address, postal address and other contact information you may provide us.
Applicant details: Information included in your resume or CV, cover letter, LinkedIn profile, your website or portfolio, and any other information you provide when applying for a role with Tremendous, including in your interview.
Professional and education-related information: Information about your professional qualifications, employment and education history, proof of eligibility to work, references, and other information you provide during the application or interview.
Assessment information: Interview notes, interview recordings, transcripts and AI-generated summaries of your interviews (see Section 3), scorecards and ratings, evaluations, and the results of any work sample, skills test or other assessment we ask you to complete.
Compensation and logistics information: your compensation expectations, notice period, timeline, preferred start date and location, and other information you share about your job search.
Communications: emails and other messages you exchange with us, including any work you submit or messages you send in a Slack channel we invite you to during your interviews.
Right-to-work and pre-hire information: If we make you an offer, information needed to verify your identity and your eligibility to work, and to complete pre-hire screening where applicable. We use this information only for those purposes and not for purposes subject to the CCPA “Right to Limit.”
1.2 Information Obtained from Third Parties
We may also obtain information about you from third parties or publicly available sources, including:
the references you name and, for candidates in the United States, in some cases people we know in common who have worked with you (we will not contact your current employer without your agreement);
Tremendous employees or other people who refer you to us;
our vendors that help manage the job application process, including applicant tracking and recruiting providers, and career websites such as LinkedIn, Monster or Indeed, and data enrichment providers that retrieve your public professional profile;
background check providers that verify your identity and check criminal records, where a check is conducted. Where required by applicable law, we will provide the separate disclosures and obtain your authorization before any check is run; and
publicly available professional information, such as information we obtain through search engines and professional networking websites.
We are not responsible or liable for the accuracy of information provided to us by third parties. Any information we obtain from third parties will be treated in accordance with this Notice.
1.3 Information We Collect Automatically
When you visit our careers pages, we collect information automatically through cookies and similar technologies in the same way we do across our website. That collection, the types of cookies we use, and your choices are described in the "Information We Collect Automatically and Cookie Policy" section of our Privacy Policy that covers our website activities. When you submit an application, our applicant tracking system also collects device, IP address and similar technical information so that we can detect fraudulent or duplicate applications. We do not use the information you submit in a job application for advertising or marketing purposes.
2. Information Use
We may use the information we collect from and about you to:
evaluate your candidacy and administer our recruiting process, including scheduling and communicating with you about your application;
contact you about other roles at Tremendous that may be of interest to you;
improve our recruiting process, including the consistency and quality of our interview evaluations;
verify the information you provide, including through comparing your application with your public professional profile and reference and background checks where permitted by applicable law;
comply with applicable laws and other legal obligations, including equal employment opportunity, right-to-work and record-keeping requirements, and to respond to requests from public and government authorities;
exercise or defend legal claims; and
protect the security and integrity of our recruiting systems and our business, including by detecting fraudulent or duplicate applications.
3. Automated Tools in Recruiting
We use artificial intelligence tools to help our recruiting team work efficiently and consistently. These currently include:
AI notetaking tools, such as Metaview and Granola, that transcribe and summarize the audio of interviews. These tools do not capture video. We tell you in advance when an interview will be transcribed, and you can opt out, in which case your interviewer will take notes manually.
AI assistants, such as Claude (provided by Anthropic), that summarize your resume and public professional profile against the requirements of the role, help us identify applications that appear to meet those requirements, and draft interview summaries, scorecards and ratings for your interviewer to review and edit.
Automated application screening tools that compare the information in your application and resume with the requirements of the role, to help us decide which applications our team reviews.
Fraud detection features in our applicant tracking system that flag applications showing signs of fraud for manual review by our team.
These tools support our team and help us manage a high volume of applications. Because of that volume, a member of our team may not individually review every application, including applications our tools do not identify as meeting the requirements of the role. A member of our team reviews the AI-generated summaries, scorecards and ratings we rely on, and every decision to advance, make an offer to or hire a candidate is made by a person. You can ask for a member of our team to review your application at any time, as described below.
These tools consider the information in your application, resume and public professional profile, and what you say in your interviews, against the requirements for the role. We do not use them to analyze your facial expressions, tone of voice or other physical characteristics, and they do not have access to information about your race, ethnicity or other protected characteristics.
If you would like to opt out of AI notetaking, would like a member of our team to review your application without the use of AI tools, or need an accommodation, please contact applicant-privacy@tremendous.com. Where applicable law requires us to provide additional notice, publish bias audit results or offer an alternative selection process, we will do so.
4. Information Disclosure
In certain circumstances, we may disclose your information to third parties consistent with this Notice. We may disclose the information we collect from and about you:
To our vendors and service providers who perform business, professional or technical support functions for us in connection with recruiting, including applicant tracking, cloud storage, scheduling, video conferencing, workplace messaging, AI notetaking, AI assistant and AI model, data enrichment, data warehousing, assessment and background check providers. These third parties are authorized to use your information only for limited purposes and may not disclose your information for other purposes.
To our professional advisors, including legal counsel and auditors.
For legal and security reasons, to regulators, law enforcement agencies, public authorities or other relevant organizations, where necessary to comply with a legal obligation or applicable law, to exercise or defend legal claims, to enforce our terms, or to protect the interests, safety and security of us, our personnel, applicants, a third party or the public.
In connection with a change in Tremendous’ ownership. We may sell all or a portion of our assets or business, or be involved in a merger, acquisition or other business transaction, and information we have collected about you may be transferred as part of the transaction.
We do not "sell" (as that term is defined under the CCPA) personal information that applicants provide during the application process, nor do we "share" it for purposes of "cross-context behavioral advertising" or targeted advertising, and we have not done so in the preceding 12 months. We do not disclose applicant information to our Clients. However, please see our Privacy Policy that covers our website activities for information about the standard cookie and other tracking activities in which we engage on the website regarding usage and click data.
5. Data Security
The security of your personal information is important to us. We have taken certain physical, administrative and technical steps to safeguard the information we collect from and about you. Access to candidate information in our applicant tracking system is restricted by role, so that members of our team can see only the candidate information they need for their part in the hiring process. While we make reasonable efforts to help ensure the integrity and security of our network and systems, the transmission of information via the Internet is not completely secure, and any transmission of personal information is at your own risk.
6. Data Storage, International Transfers and Retention
Your personal information is stored primarily on our service providers’ servers in the United States, and may be accessed by our service providers and by members of our team located in other countries. You understand that we may collect, use, disclose and otherwise process the information you provide as described in this Notice even if you are applying from an area outside the United States. Your personal information may be disclosed in response to inquiries or requests from government authorities or to respond to judicial process in the United States.
Where you apply from the European Economic Area, the United Kingdom or Switzerland, you are submitting your information to us in the United States directly, in order to be considered for a role with us. Where we instead receive your information from a recruiting vendor or career site located in those regions, we rely on Standard Contractual Clauses and the UK International Data Transfer Addendum or another transfer mechanism permitted under applicable law.
If your application is not successful, we will retain your information for up to four (4) years after the recruiting process concludes, so that we can consider you for future roles, comply with equal employment opportunity and record-keeping requirements, and exercise or defend legal claims. If we hire you, your application information becomes part of your employment record and is retained in accordance with our employee privacy notice. When determining the length of time to retain your information, we consider criteria including whether we need it to consider you for other roles, resolve a dispute, abide by applicable laws and regulations, prevent harm, or protect our rights, property or products. You may ask us to delete your information sooner as described below, subject to any information we are required by law to retain.
If you are applying from the European Economic Area, the United Kingdom or Switzerland and your application is not successful, we will retain your information for twelve (12) months after the recruiting process concludes. If you agree to be considered for future roles, we will keep your information for up to two (2) years from our last contact with you. In either case, we may keep it longer where we need it to exercise or defend a legal claim.
7. Your Privacy Rights
Your local laws (including applicable laws in the EU, UK, Switzerland, Canada, Brazil, and the United States (including California)) may permit you to request that we:
provide access to and/or a copy of certain information we hold about you;
update information which is out of date or incorrect;
delete certain information that we process about you;
restrict the way that we process and disclose certain of your information; and
opt out of the processing of your personal information for automated processing that results in legal or similarly significant effects (if relevant).
Your local laws may also permit you to revoke your consent to the processing of your information for certain purposes. Note that a number of these rights only apply in certain circumstances, and all of these rights may be limited by law — for example, where fulfilling your request would adversely affect other individuals, or where we are required by law to retain your information.
In addition, California residents can request information about the categories of personal information we collect and disclose about them; the sources of such information, the business or commercial purpose for collecting it, and the categories of third parties to whom we disclose it. Such information is also set forth in this Notice.
How to exercise your rights
To exercise any of these rights, you can contact applicant-privacy@tremendous.com. We will not discriminate or retaliate against you for exercising any of these rights, and exercising them will not affect your candidacy. We may need to collect information from you to verify your identity, such as your email address, before providing a substantive response to the request. Depending on your location, you may designate, in writing or through a power of attorney document, an authorized agent to make requests on your behalf. Before accepting such a request from an agent, we will require that the agent provide proof you have authorized them to act on your behalf, and we may need you to verify your identity directly with us. We will not require you or your authorized agent to pay a fee for the verification of your request or appeal.
You can opt out of emails about future roles using the unsubscribe link in those communications, or by contacting us at applicant-privacy@tremendous.com.
